Terms & Conditions

1. Booking and Payment Criteria

Reservation Confirmation: Your wedding dates are confirmed upon receipt of an email affirmation and a non-refundable advance of 30% of the total fees.

Additional Charges: The quoted amount does not include extra charges for third-party services unless specified.
Travel Expenses: For events outside Delhi NCR, clients are responsible for all travel expenses, including transportation and accommodation. ‘The Event Designer’ will not cover these costs under any circumstances.

Accommodation: Clients must provide two rooms at the event’s designated hotel for our senior management and cover room service costs (excluding alcohol and tobacco).
Meals: Clients are responsible for providing meals for our team and associated vendors.

2. Schedule of Payment

Initial Payment: 30% non-refundable payment due upon hiring ‘The Event Designer.’

Second Payment: 50% of the fee due at the mid-date between the hiring date and the event date, which can vary depending on the client’s timeline.

Final Payment: Remaining 20% due one week before the event.

Last-Minute Engagements: Additional charges apply for vendors hired within 72 hours of the event.
Service Changes: Extra charges apply for any changes to contracted services, subject to mutual agreement.

3. Cancellation and Refund Policy

Non-Refundable Payments: All payments and advances are non-refundable under any circumstances, including cancellations by the client or ‘The Event Designer’.
Client Responsibility: Clients must cover all travel, food, and accommodation expenses for outstation events. ‘The Event Designer’ is not responsible for these costs.

4. Dispute Resolution

Mediator Appointment: ‘The Event Designer’ reserves the right to appoint a mediator to resolve any issues that may arise.

Legal Provisions: Any disputes will be resolved digitally and according to Indian law, with proceedings near our registered office. Legal actions must be filed against ‘The Event Designer’ and not against individual founders, Sahil Sachdeva or Nishita Aggarwal.

5. Promotional Use

We have the right to use event photos and videos for promotional purposes unless specified otherwise in writing.

6. Contract Acceptance

Implied Acceptance: If the client does not return the signed contract but continues to work with ‘The Event Designer’, it will be considered as acceptance of these terms and conditions.

Review Terms: By hiring ‘The Event Designer’, clients acknowledge and accept these terms and conditions unless written evidence of changes is provided via email.

7. Additional Protections

Vendor Contracts: Clients are responsible for any contracts and deposits with third-party vendors. ‘The Event Designer’ will not be liable for any financial commitments or disputes with third-party vendors.

Event Delays or Changes: Any changes to the event date or schedule must be communicated in writing and may be subject to additional fees. ‘The Event Designer’ will make reasonable efforts to accommodate changes but cannot guarantee availability.

Client Obligations: Clients must provide timely and accurate information regarding their event to avoid any disruptions or delays. Failure to do so may result in additional charges or adjustments to the event timeline.

Liability Limitation: ‘The Event Designer’ shall not be held liable for any indirect, incidental, or consequential damages arising from the event or the services provided.

Hotel and Wedding Venue Terms & Conditions

Thank you for partnering with ‘The Event Designer.’ To ensure smooth operations and maintain a professional relationship, we have outlined the following Terms & Conditions. Please review them carefully.

1. Payment Terms

Advance Payment: All payments to venues will be made in advance as per the agreed-upon schedule.
Balance Payment: The remaining balance will be paid one week after the execution of the event.
Invoices: Venues must provide detailed invoices for all services rendered, to be submitted within three days post-event.
Direct Payments: If the hotel takes direct payments from clients and disputes arise, ‘The Event Designer’ will not be responsible for resolving these issues.
2. Use of Event Data

Permission Required: Venues are not permitted to use any event pictures, videos, or data for promotional purposes without obtaining explicit permission from ‘The Event Designer.’
Confidentiality: Sharing client information with other parties without informing ‘The Event Designer’ is prohibited. Unauthorized sharing will result in legal action.
3. Communication Protocol

Client Interaction: Venues must not contact clients directly without informing ‘The Event Designer.’ Any breach will give ‘The Event Designer’ the right to sue for any resulting losses.
Updates: Venues must keep ‘The Event Designer’ updated on all aspects of their services and any changes that may arise.
4. Service Quality

Professional Standards: Venues are expected to maintain high standards of professionalism and quality in their services. Any substandard performance may result in termination of the contract.
Timeliness: Venues must adhere to agreed timelines and deliverables. Delays must be communicated promptly, and efforts should be made to minimize any disruptions.
5. Legal and Compliance

Insurance: Venues must have appropriate insurance coverage for their services and provide proof upon request.
Licenses: Venues must possess all necessary licenses and permits required to perform their services.
Compliance: Venues must comply with all applicable laws and regulations related to their services.
Aadhaar and Safety Equipment: Venues must provide their own Aadhaar card, required licenses, safety belts, helmets, and other necessary items. ‘The Event Designer’ will not be responsible for supplying these items.
6. Liability and Responsibility

Damages and Accidents: Venues are responsible for any death or damage to the client, labor, or anyone at the event caused by their actions. ‘The Event Designer’ will not be liable for such incidents.
Property Loss: Venues are responsible for any damage or theft of their property.
Financial Losses: Any financial losses incurred by ‘The Event Designer’ due to venue actions must be compensated by the venues.
7. Exclusivity and Non-Compete

Future Work with Clients: Venues are prohibited from working with ‘The Event Designer’s’ clients in the future without prior consent. Breach of this clause will result in a fine of 5,00,000 INR and potential legal action.
8. Event Changes and Costs

Event Timing Changes: Any changes to event timings must be communicated and agreed upon in writing. Unwritten agreements will not be accepted.
Cost Approval: All costs must be provided in writing and accepted by ‘The Event Designer.’ Costs not documented and approved in writing will not be the responsibility of ‘The Event Designer.’
9. Dispute Resolution

Negotiation: In case of any disputes, both parties agree to first seek resolution through direct negotiation.
Legal Proceedings: If negotiations fail, disputes will be resolved according to Indian law, with proceedings near the registered office of ‘The Event Designer.’
10. Acceptance of Terms

Implied Acceptance: By working with ‘The Event Designer,’ the hotel or venue agrees to these terms and conditions. This includes all properties such as farmhouses, resorts, apartments, or any place where events are organized.
11. Termination

Breach of Contract: ‘The Event Designer’ reserves the right to terminate the contract with any venue found in breach of these terms and conditions.
Notice: Either party may terminate the contract with a written notice, subject to the terms of payment and service completion as outlined.

Thank you for being a part of ‘The Event Designer.’ To ensure smooth operations and maintain a professional relationship, we have outlined the following Terms & Conditions for our employees. Please review them carefully.

1. General Conduct

Professionalism: All employees are expected to maintain high standards of professionalism, punctuality, and integrity in all their duties.
Confidentiality: Employees must keep all client information, company data, and internal communications confidential. Sharing sensitive information without permission is strictly prohibited.
2. Roles and Responsibilities

HR Department:

Recruitment and Onboarding: Ensure that all recruitment processes are fair and transparent. Handle onboarding processes efficiently.
Employee Relations: Address employee concerns and maintain a positive work environment.
Compliance: Ensure all company policies and legal requirements are adhered to.
SEO and Digital Marketing Department:

Strategy Implementation: Develop and execute effective SEO and digital marketing strategies to enhance the company’s online presence.
Reporting: Provide regular performance reports and analytics to measure the effectiveness of campaigns.
Confidentiality: Maintain the confidentiality of all digital strategies and client data.
Events Architect:

Design and Planning: Create innovative and feasible event designs that meet client specifications.
Coordination: Work closely with other departments to ensure seamless execution of event plans.
Compliance: Ensure all designs and plans comply with safety and regulatory standards.
Interns:

Learning and Development: Actively participate in training sessions and apply learned skills to assigned tasks.
Support: Assist various departments with day-to-day activities and special projects.
Feedback: Provide constructive feedback to help improve the internship program.
Sales and Marketing Department:

Client Acquisition: Develop strategies to attract new clients and retain existing ones.
Brand Promotion: Promote the company’s brand through various marketing channels.
Reporting: Keep detailed records of sales activities and client interactions.
Event Associates:

Event Coordination: Assist in the planning and execution of events, ensuring all details are managed effectively.
Client Interaction: Serve as a point of contact for clients during events, addressing any concerns promptly.
Logistics: Manage event logistics, including vendor coordination and on-site support.
3. Salary and Benefits

Salary Release: Salaries are released on the 10th of every month, with 10 days of salary retained by ‘The Event Designer.’
Notice Period: A minimum notice period of 3 months must be served by employees before leaving the company. Failure to serve the notice period will result in a fine of 1,00,000 INR.
Medical Emergencies: Employees must provide immediate family contact details for medical emergencies.
No Medical Leaves: There are no medical leaves in the company; instead, medical hours are provided.
Office Timings: Office hours are from 10 am to 7 pm, with an expected start time of 11:00 am. All Saturdays are working days.
4. Liability and Responsibility

Event and Office Incidents: ‘The Event Designer’ will not be liable for any health issues or accidents occurring at events or in the office.
Independent Actions: Any personal actions that lead to disputes or issues will not be the responsibility of ‘The Event Designer.’
5. Communication Protocol

Internal Communication: Employees must use designated communication channels for all work-related interactions.
Client Communication: Direct communication with clients should be professional and in line with company guidelines. Any issues should be promptly reported to supervisors.
6. Non-Compete and Non-Solicitation

Non-Compete: Employees are prohibited from engaging in any work that directly competes with ‘The Event Designer’ during their employment and for a specified period after leaving the company.
Non-Solicitation: Employees may not solicit clients or other employees for personal gain or for other companies. Employees cannot work with clients they have engaged with while at ‘The Event Designer.’ Breach of this clause will result in a penalty of 10,00,000 INR.
7. Performance and Evaluation

Regular Reviews: Employee performance will be regularly reviewed to ensure alignment with company goals.
Feedback: Constructive feedback will be provided to support professional growth and development.
8. Disciplinary Actions

Policy Violations: Any violation of company policies or misconduct will result in disciplinary actions, which may include termination of employment.
Defamation: Any defamatory remarks about the founders or the company will result in a fine of 2,00,000 INR.
9. Legal and Compliance

Compliance with Laws: Employees must comply with all applicable laws and regulations related to their work.
Liability: Employees are responsible for any damages or losses caused by their actions during employment.
